Job Description:
As an Extension Assistant, you will responsible for providing administrative support to program area and the respective county Agent(s). You will report to an Area Extension Director and there will be a high level of interaction with the general public. The Extension Assistant will be expected to be knowledgeable of the philosophy, goals and objectives, policies and procedures of the Cooperative Extension Service. General duties include program support, teaching, recruitment & marketing, and record keeping while conducting yourself in a professional manner. Under the supervision of the Extension Agent(s), the Extension Assistant will assist in: Quickbooks, maintaining budget files, promoting and organizing new 4-H clubs; recruiting members and volunteer leaders; providing support and guidance to existing 4-H clubs; recruiting and working with volunteers in conducting events and activities such as project groups, 4-H, FCS, and ANR achievement events, and public presentation programs; serving all clientele.
Major Job Responsibilities:
Program Support – 30%
Coordinate and organize schedules of new and continuing programs. Promote and implement programs as directed by agents. Order/purchase educational supplies as needed for programs. Help with set up, take down, and clean up. Assist with the development of educational and promotional materials for agents, i.e. PowerPoint, newsletters, handouts, flyers, brochures and teaching tools. Copy and assemble materials. Assist with organizational details and preparation for meetings or workshops. Maintain extension program websites and social media accounts. Maintain mailing and email lists for program groups. Keep statistics and maintain volunteer hours list submissions. Attend to special client requests. Promote County Cooperative Extension programs. Other duties as assigned.
Teaching – 30%
Lead school clubs, school enrichment, afterschool clubs, afterschool programs, day camps and project days/workshops as directed by agent. Implement lesson plans and educational presentations with direction from agents. Actively assist or present established curricula under the supervision of the agents or specialists or present established curricula for which they have been trained by agents or specialists. Assist with hands-on trainings, field days, fairs, demonstrations and programming. Other duties as assigned.
Recruitment and Marketing – 15%
Assist in the recruitment of volunteers for support at activities and programs. Assist with CES exhibits and technologies displays. Interact and promote Extension with general public. Utilize new in order to reach new audiences i.e., setting up websites, setting up blogs, organizing radio spots, etc. Be knowledgeable of the philosophy, goals and objectives of the Cooperative Extension Service. Other duties as assigned.
Record Keeping – 15%
Facilitate development of new audiences for Extension programming through collaboration with other groups. Serve as a group facilitator to convene or intervene with groups that need a neutral facilitator to foster successful outcomes. Help the group identify, solve problems or make decisions. Build collaborations with other agencies and organizations to solve community problems and multiply effectiveness. Exhibit and promote teamwork within the Extension organization at county, area, region and state levels, acting as mentor and contributing to the professional development of all agents. Coordinate intra-office communication and integrated program development. Coordinate all forms of governmental and media communications. Provide leadership and communication with Extension District Board and Extension Council. Demonstrate open and efficient communications among agents, support staff and Extension clientele. Coordinate and/or lead county-wide or multi-program events as needed.
Professionalism – 5%
Attend in-service trainings as needed. Participate in UK/CES support staff professional organization as directed by agents. Assist with general office duties as needed. Maintain a clean and organized work area. Dress appropriately for work according to the guidelines established in the “A Guide to Attire for Extension Employees” document. Major Job Responsibilities:
Office Management – 25%
Assist with Extension District Board, Budget Management Preparation, and distribute daily correspondence. Assist in set up, take down, and cleanup before and after meetings. Prepare meeting sign-in sheets and door signs. Assist agents with meals and location arrangements for meetings. Assist agents by typing, filing, making phone calls as assigned. Assist with handling monies according to UK money handling procedures. Assist with picking up mail from mailbox and distribute appropriately. Coordinate ordering of office supplies and inventory as needed. Other duties as assigned.
Customer Service – 15%
Greet clientele if other staff assistant is unavailable. Answer phones, take and relay messages in rotation with other staff assistants. Answer questions about upcoming events and activities for program areas and schedule meeting rooms for agents for events or meetings. Sign up clientele for programs or activities and collect fees as needed. Provide informational materials or copies as requested for program areas. Be aware of agent’s daily work schedules and provide to clientele and staff. Complete all tasks with a professional and friendly demeanor. Other duties as assigned.
Record Keeping and Newsletters – 25%
Work with budget contact Agent to complete county, state, federal budget reports. Maintain computer records for Extension budget. Organize bills for District Board treasurer. Type and mail District Board treasurer’s report. Assist staff with travel expense reports, prepare, and send to Area Director, County Director or County Manager. Assist staff with travel expense reports and prepare and send to Area Director, County Director or County Manager. Handle money, receipts, and deposits according to UK money handling procedures. Perform bookkeeping, accounts management and reconciliation as directed. Process background checks on adult volunteers. Develop and use a reminder system for marketing programs and sending news releases and news articles as directed by Agents. Use client database to send reminder cards and / or emails to clients regarding upcoming programs and meetings and other mailings and messages as needed. Copy, assemble, distribute and electronically manage newsletters for all agents. Create, update, and maintain online databases and social media accounts. Other duties as assigned.
Program Support – 20%
Works ahead, anticipating upcoming events. Prepare materials for agent training sessions. Process background checks on volunteers working with Extension. Assist agents with special programs such as Farm Tours, 4-H events, County Fair, Livestock Shows, Exhibit Hall, Awards Banquet, School club planning, Project Groups and Clubs, etc. Assist in maintenance of volunteer files. Assist with project groups, Livestock Show and Sale, environmental camp, reality store, 4-H day, school clubs and awards banquet. Other duties as assigned.

Job Description:
As an Extension Events Coordinator, you will be responsible for, among other things, coordinating local Extension facilities use and related agreements, communications and marketing of local Extension meetings and events through various media, overseeing building and facilities operations, maintenance and development, and supervising personnel. In this role, there will be some interaction with the general public, Extension volunteers, participants and various community organizations.
Major Job Responsibilities:
Contracts, Meetings, Events and Marketing – 30%
Coordinates local Extension campus facilities use and related agreements. Oversees scheduling, reservations, and meetings and events setup and breakdown. Provides periodic reports on facility usage. Works with local leadership, Extension administration, agents and staff to assess county Extension facility and facility use needs, and to coordinate and facilitate local Extension events and meetings. Serve as logistics manager for local Extension campus, meetings and events. Proactively create and implement communication and marketing plans for county Extension events and community/special events. Collaborate with Extension Agents and Support Staff to develop content for local website and coordinate and expand use of other media, such as Twitter, Facebook, Podcasts, blogs, etc. Maintain and promote website as an informational and education tool for the public regarding facility events and extension programming. Coordinates day-to-day oversight of facilities, fiscal matters regarding facilities and the Extension District Board/County Extension Council requests regarding facility needs and issues. Responsible for management, staffing, maintenance, safety and educational effectiveness of the extension facility. Other duties as assigned.
Building Operations – 20%
Oversees daily operation and maintenance of the buildings and grounds. Oversees maintenance and related support staff. Ensures all Extension District Board policies, University standards and government regulations are met and maintenance checklists/inspections are fully and promptly completed. Inspects all grounds and facilities, evaluates the condition of the property (buildings, infrastructures and grounds), and determines repair and maintenance needs. Oversees grounds care and maintenance (mowing, landscaping, salting, snow removal, etc.). Oversees operation, maintenance and repair of all equipment and tools. Works cooperatively with local Extension District Board to ensure facilities are compliant with Americans with Disabilities Act requirements and all applicable building codes. Develop and oversee a preventative maintenance program for all aspects of the facilities and grounds. Bi-annually participate in a thorough inspection of facilities with Area Extension Director or County Manager and maintenance staff (Spring and Fall). Collaborate with the Area Extension Director or County Manager and county staff on projects/repairs needed, time frame for completion, scope of projects, etc. Fulfills all facility coordinator responsibilities as assigned by Area Extension Director. Perform bookkeeping, accounts management and reconciliation as directed. Other duties as assigned.
Training, Supervision, and Hiring– 15%
Working with the Area Extension Director, this position will lead maintenance staff hiring and supervise maintenance and related support staff, where applicable. This position conducts the performance appraisal process and counseling sessions in accordance with Extension Human Resources guidelines. As direct supervisor, this will include monitoring schedules and work completion, approving time sheets and leave requests for maintenance and related support staff. This position will develop the training program for new maintenance and related support staff. Coordinates day-to-day oversight of facilities, fiscal matters regarding facilities and the Extension District Board/County Extension Council requests regarding facility needs and issues. Responsible for management, staffing, maintenance, safety and educational effectiveness of the extension facility. Other duties as assigned.
Facilities Development – 15%
Determines construction projects and repairs, establishes and approves the scope of work, and monitors the quality and completeness of the work. Collaborates with local Extension District Board and Area Extension Director or County Manager concerning recommendations, scope of projects, quality control and costs of project and may consult with appropriate UK, College of Agriculture, Food and Environment and local agencies and offices on technical questions or scope of work on a project. Develop strategic plan for county facility space. Responsible for working with Extension District Board to determine business development avenues including rate determination, facility assessment, customer services, and overall program coordination. Conducts research to determine internal versus external programs and needs. Other duties as assigned.

Recommends facility policy and procedure modifications to the Area Extension Director and/or County Manager and assist with presentation to the Extension District Board as needed or requested. Security and Safety - 5%
Evaluates, oversees and maintains security of the property. Liaises with alarm companies and security providers, as applicable. Works with cooperatively with local Extension District Board to ensure compliance with building, fire marshal and other applicable codes. Works with appropriate UK, College of Agriculture, Food and Environment, local law enforcement and other appropriate local boards, agencies and offices to develop emergency evacuation and safety routes, plans and procedures and to ensure the safety and security of buildings, employees and the public. Job Description:
As an Extension Custodian, you will be responsible for the overall maintenance, cleanliness and other basic custodial aspects of the Extension office. General duties include facility management, cleaning, maintenance, basic landscaping, conference room set up, and general repairs while conducting yourself in a professional manner. Specific duties will include, but are not limited to, cleaning, stocking, and maintaining bathrooms and kitchen areas; vacuuming and dusting entire office area; emptying trash and recyclables; maintaining and cleaning outdoor areas; occasional duties such as stripping and waxing floors; changing light bulbs; steam cleaning carpets; landscaping, mowing and weed eating outside areas; and setting up conference rooms.
Major Job Responsibilities:
Daily Custodial Duties – 35%
Serving as a general manager of facilities. Respond to any need of the building, i.e., ensuring all restrooms are clean, maintained and stocked. Ensure all kitchens are clean, maintained and stocked. Wash dishes and sinks as well as maintain clean countertops. Ensure all meeting rooms and hallways are clean. Vacuum inside mats, sweep outside mats. Empty and remove all garbage from all waste receptacles throughout the building. Gather and empty all recyclables from throughout the building. These areas must consistently maintain a high level of cleanliness for food preparation and health department inspections. Other duties as assigned.
Occasional Custodial Duties – 25%
Weekly Duties: Vacuum all carpeted areas. Empty shredders. Wash and dust all tables, desks, windowsills, etc. in office areas, library, meeting rooms, and work rooms. Clean doors/door handles/door kick plates as well as glass on outside entry and interior doors, along with all interior windows. Check and arrange order of cleaning supplies with staff assistant. Sweep and dust storage areas. Take recyclables to recycling center. Empty exterior garbage receptacles. Maintain tile floors by mopping. Monthly Duties: Dust interior decorations, ceiling, cabinets, bookcases, etc. Clean stovetops, ovens as well as clean out and under refrigerator. Clean ice machine and change filters. Report needed repairs to staff assistant. As Needed Duties: Spot treat carpets. Wash walls, do simple repairs/paint touch ups, hang photos and other wall mounted items. Assist with moving furniture and items in all buildings as requested. Change light bulbs and clean fixture covers. transport program materials to designated area. Other duties as assigned.
Facility Maintenance Duties – 25%
Landscape Care: Maintain mowing, weeding, trim shrubs and bushes, as well as blowing leaves. Maintain exterior of building. Maintain sidewalks during fall (leaves) and winter (snow). Building Set-up: Review and communicate with appropriate meeting contact for meeting information: timeline, set-up, and any request for technical or additional assistance. Set up and take down meeting rooms (tables, chairs and any program resources) as well as hallways in an appropriate arrangement for scheduled events. Prearrange work schedule to accommodate personal on-site assistance for conference and meeting. Technology: Set up monitor, computer, lighting, projector and sound when meetings need technology resources as well as move technology to storage when not needed. Other: Perform routine maintenance, contact outside service and repair when necessary. Other duties as assigned.

Job Description:
The Extension County Director will provide leadership for all aspects of the Cooperative Extension Service in the county. The County Director responsibilities include: (1) oversee and ensure quality of educational programming throughout the county; has primary responsibility to ensure completion of county Plan of Work; (2) serve as the primary contact and manage the relationship with the District Board in the County; serve as primary contact for County Extension Council; coordinating regular meetings; working with committees and agents to ensure a broad local membership; (3) ensure accountability throughout the County Extension service while maintaining positive public relations; (4) supervise and/or oversee agents and county office staff; (5) develop strong intra-office and intra-county relationships; (6) foster teamwork and collaboration throughout program areas, staff and county partnerships; (7) respond to county and Extension issues in a timely manner; (8) ensure that all clientele are served.
Major Job Responsibilities:
Financial and Public Accountability – 25%
Responsible for overall budget management, operating budget process, and accounting for the office. Develops and or improves current business practices to facilitate positive change and ensure efficiency and effectiveness in serving customer needs. Advises and directs county staff regarding College and University policies and procedures, including changes and updates. Works with county staff to develop improved policies and improved accounting, statistical, and support service. Interprets and ensures compliance with all State (KRS), University, Extension and Local policies and procedures, rules and regulations, as related to county operations. Ensures annual KRS- mandated county financial audits and required financial reports are completed, reviewed and submitted to Department of Local Government. Serves as a resource for financial and business management mentoring for county offices. Distributes the periodic county accounting reports and reviews as necessary to Regional and Area Directors and county personnel. Provides timely and accurate reports to Director of Business Operations, Regional and Area Directors and others as required. Ensures Client Protection and Risk Management guidelines are implemented within all program areas. Generate and utilize evaluation data on programming to document and publicize Extension’s impact, accomplishments and to improve future programming. Share program outcomes with community and elected officials and the public.
Supervision – 25%
Provide direct supervision for all staff (agents and support staff) except program area support staff which will be supervised by program area agents. This would include the performance evaluations, coaching, corrective action, etc. Provides mentorship and encouragement to all agents and staff. Monitors schedules and work completion. Follows Kentucky Cooperative Extension Guidelines for county operation. Responsible for management, staffing, maintenance, safety and educational effectiveness of all local Extension facilities. Helps to develop agent job responsibilities that allows and encourages agents to develop a dynamic program in rural, urban, or suburban environments. Ensure quality of educational programming across all program areas.
Advisory Councils – 25%
Work with all agents in the county to ensure County Extension Council appropriately represents all stakeholders within the county. Recruit, develop, and utilize the County Extension Council to identify local issues, conduct and evaluate educational programs, and to determine staffing needs of the county. Secure financial resources for Extension programs. Communicate curriculum needs to the University. Ensure the District Board’s compliance with Kentucky Revised Statues and University of Kentucky operational procedures that pertain to fiscal matters, staffing and programming. During times of vacancies of agents, work with Area Director in establishing local screening committee.

Maintains a system to respond to clientele requests on a timely basis. Connects clientele requests to creation of future programming as appropriate. Uses new technology to improve customer service and extend/leverage the personnel investment in the office. Ensures utilization of current, research-based information for basis of clientele response and Programming. Job Description:
The Extension County Manager will provide leadership for all aspects of the Cooperative Extension Service in the county. The County Manager responsibilities include: (1) serve as a liaison to the District Board in the County; coordinating with the Area Extension Director; (2) ensure accountability throughout the County Extension service while maintaining positive public relations; (3) supervise and/or oversee county office staff; (4) develop strong intra-office and intra-county relationships; (5) foster teamwork and collaboration throughout office staff and county partnerships; (6) respond to county and Extension issues in a timely manner; (7) ensure that all clientele are served.
Major Job Responsibilities:
Financial and Public Accountability – 40%
Responsible for overall budget management, operating budget process, and accounting for the office. Develops and or improves current business practices to facilitate positive change and ensure efficiency and effectiveness in serving customer needs. Advises and directs county staff regarding College and University policies and procedures, including changes and updates. Works with county staff to develop improved policies and improved accounting, statistical, and support service. Interprets and ensures compliance with all State (KRS), University, Extension and Local policies and procedures, rules and regulations, as related to county operations. Ensures annual KRS- mandated county financial audits and required financial reports are completed, reviewed and submitted to Department of Local Government. Serves as a resource for financial and business management mentoring for county offices. Distributes the periodic county accounting reports and reviews as necessary to Regional and Area Directors and county personnel. Provides timely and accurate reports to Director of Business Operations, Regional and Area Directors and others as required. Assists with ensuring that Client Protection and Risk Management guidelines are implemented within all program areas.
Supervision – 35%
Provide direct supervision for all staff except program area support staff which will be supervised by program area agents. This would include the performance evaluations, coaching, corrective action, etc. Provides mentorship and encouragement to all staff. Monitors schedules and work completion. Follows Kentucky Cooperative Extension Guidelines for county operation. Responsible for management, staffing, maintenance, safety and effectiveness of all local Extension facilities.
Facilitation, Collaboration, Teamwork – 10%
Serve as a group facilitator to convene or intervene with groups that need a neutral facilitator to foster successful outcomes. Help the group identify, solve problems or make decisions. Exhibit and promote teamwork within the Extension organization at county, area, region, and state levels, acting as mentor and contributing to the professional development of all staff. Coordinate intra-office communication. Coordinate all forms of governmental and media communications. Provide leadership and communication with Extension District Board in cooperation with the Area Extension Director. Demonstrate open and efficient communications among support staff and Extension clientele. Coordinate county-wide or multi-program events as needed.
Customer and Public Relations – 10%
Maintains a system to respond to clientele requests on a timely basis. Uses new technology to improve customer service and extend/leverage the personnel investment in the office.
